Schedule a meeting in Vision

Book a consult ahead of time and send everyone the link.

What this is: how to book a Vision meeting in advance and invite the clinician, family or other guests.

Who it’s for: coordinators, nurses and anyone who books virtual care consults.

Book a meeting

  1. Sign in to Vision and go to the dashboard.
  2. Click New meeting.
  3. Enter a Title and, if you like, a Description. Keep patient names out of the title.
  4. Set the Date, Time and Duration.
  5. Add yourself and any other Vision account holders as Registered Users.
  6. Type each guest’s email address and press Enter after each one.
  7. Tick Invite to Virtual Room if you want the meeting to use your permanent virtual meeting room ID.
  8. Click Book Meeting.

Everyone on the list gets an email invitation with the link.

Manage a booking

The summary page lets you:

  • Edit the meeting details
  • Copy the meeting link to send another way, for example by SMS
  • Join the Room early to set up before the patient arrives
  • Delete the meeting.

Tips for smooth bookings

  • Book a test call first. Run a short test with each new clinician before their first patient session.
  • Include a fallback number. Add your direct phone number to the description so the clinician can call if video drops.
  • Send the pre-read early. If the clinician needs a summary, medication list or recent observations, send them through your usual secure channel before the meeting.
  • Use regular slots for rounds. A standing weekly time for GP rounds works better than one-off bookings.

Other ways to book

  • From ProEX: use Schedule on the ProEX home screen to book a Vision telemeeting and send an invitation.
  • From MMEx: see Vision calling in MMEx.
