What this is: a template email to your IT department or provider, so they can get ready for virtual care.
Who it's for: clinic and nurse managers, and the person coordinating the rollout.
How to use it
Replace the text in [square brackets] with your details. Send it to your IT team or external IT provider early, so anything that needs work is sorted before your first consult. If you are unsure of the technical answers, Visionflex can help you fill them in.

Subject: Getting ready for virtual care at [service name]
Hi [IT contact],
We are setting up virtual care at [service name]. This means secure video consultations with clinicians, plus connected medical devices that send data into the patient record. I would like your help to make sure our setup is ready.
Could you please check the following and let me know if anything needs work:
Network and connection
- Our internet connection in [room or site] is fast and stable enough for two-way video. Can you confirm the speed and reliability in that room, not just at the main point?
- Do we have a backup connection, such as a mobile hotspot or second service, if the main one fails?
Security
- Is our network secure, with up-to-date protection?
- Are any firewall settings or ports needed for the virtual care platform? [Visionflex can provide these details.]
- Are our devices set to receive security updates?
Devices
- Will the computers or tablets we plan to use run the platform and connect to the medical devices?
- Do staff have the access and permissions they need to log in and use it?
Support
- Who do staff call when something does not work during a consult?
- Can we agree a quick way to get help during clinic hours?

After you send it
Follow up if you do not hear back, and keep a record of what IT confirms. Test everything in the actual consult room before your first patient, not on the day.
