Vision calling in MMEx
Launch and schedule secure Vision consults from inside MMEx.
What this is: how to run Vision virtual care consults from within MMEx, either straight away from a patient record or booked ahead in the MMEx calendar.
Who it’s for: clinicians and practice staff using MMEx.
Before you start
- Your MMEx account needs Vision turned on. Your practice administrator arranges this with Visionflex and the MMEx Helpdesk.
- Use a computer with a webcam, a microphone and speakers or a headset.
- Use an up-to-date browser such as Chrome or Edge.
- The first time you join a Vision call, click Allow when the browser asks to use your camera and microphone.
Two ways to run a session
| On demand | Scheduled |
|---|---|
| Start now from the patient record. MMEx sends the patient a join link straight away. | Book an appointment in the MMEx calendar with Vision as the Telehealth URL. MMEx creates the links when you save. |
| Best for same-day or unplanned consults. | Best for booked consults where the patient gets the link ahead of time. |
Protect patient privacy. Session titles stay in the Vision session log after the call. Keep the patient’s full name out of the title.
Start an on-demand session
- Log in to MMEx and click Patients in the left menu.
- Find the patient with Patient Search, pick them from Recent Patients, or click New Patient.
- With the record open, click the patient’s name in the drop-down at the very top of the screen.
- Under Actions, click Launch Vision Session.
- Complete the form:
| Field | What to enter |
|---|---|
| Title | A short name, for example “Telehealth consult”. Avoid the patient’s full name. |
| Length (in minutes) | How long the session runs. You can extend it during the call. |
| Select Message Template | Required. Choose your Vision session template. |
| Select Guest Type | Who you are inviting, for example Patient. |
| Contact Method | Tick SMS, Email or both. |
| Email or mobile | Check it’s correct. MMEx fills it in from the patient record. |
- Click Create Session. MMEx sends the invitation and opens the Vision panel.
Join the session
- The Vision panel opens on the right of MMEx. Check the camera, microphone and speaker.
- Click Play/Test sound output to check you can hear audio.
- Turn on Background blur if needed, and Save as default to keep your settings.
- Click Enter Meeting.
- When the patient joins, they wait in the lobby. Click Admit.
The patient clicks the link in their email or SMS, enters their name and allows their camera and microphone. They can join from a phone, tablet or computer with no app or account.
During the session
- The session timer shows how long the call has run. Click Extend (the clock icon) to add time.
- + Add opens Add guest (family, support person, on-site medic) and Add camera (a second camera, for example one pointed at an on-site clinician). You may also see Add Examhub for Visionflex clinical devices.
- Click the red microphone icon in the MMEx top bar to minimise or expand the Vision panel. Click the pin icon to pin it.
- Click the snapshot button to capture an image, then open the Gallery from More (…) to mark it up or download it.
Download any images you need for the record before the session ends. Vision deletes snapshots, chat and files when the session closes. Session recording is not turned on.
When you finish, click Clear Vision Session at the top of the Vision panel.
Schedule a Vision appointment
- Click the calendar icon in the MMEx top bar, tick the calendar you want and click Apply Selection.
- Click the add appointment icon or a time slot.
- Complete the details: Calendar, Title, Patients (Pick A Patient), start date and time, and Duration.
- Use Reminder Notes for anything the patient should see.
- Under Telehealth URL, select Vision. MMEx creates the session links when you save.
- Add any other staff under Participants, then click Add.
If reminders are set up for the calendar, the patient gets their link in the reminder. SMS reminders don’t go to patients who are underage or have opted out of SMS.
To start a scheduled session, click the appointment, click Details, and click the Host URL. The Guest URL is the patient’s link. Copy it to send another way if needed.
Troubleshooting
| Problem | Fix |
|---|---|
| Launch Vision Session is missing | Log out of MMEx and back in. If it is still missing, ask your practice administrator to contact the MMEx Helpdesk. |
| Your camera isn’t showing | Close Teams and any other app using the camera, refresh, then choose the right camera in Settings. |
| Browser blocked the camera or microphone | Click the padlock in the address bar, allow the camera and microphone, then refresh. |
| You can’t hear, or they can’t hear you | Check the microphone and speaker in Settings. Check Windows sound settings. Use a headset for echo. |
| Video looks jittery | Close other apps, move closer to the Wi-Fi or use a wired connection. Run the pre-call test. |
| Patient didn’t get the invitation | Check the email or mobile number. Ask them to check junk mail. Copy the Guest URL and send it another way. |
| Patient stuck in the lobby | Click More (…), then Participants, then Admit. |
